Questions

What people ask before signing.

Straight answers, including the ones that don't flatter us. If something isn't here, ask and we will add it.

How much does it cost, and why don't you publish it?

You pay per property, per room and for the modules you use. An eight-room guesthouse and a forty-room hotel do not pay the same, and a bare figure in a table only makes one of the two leave without asking.

What is published is what you buy: the modules and how far each tier reaches. With your room count on the table, the quote comes out in writing and with the breakdown.

Is there a free trial?

There is no fifteen-day trial button. There is something that works better: we set the account up with your rooms and your rates, and you see it running on data you recognise.

An empty PMS cannot be tried out. What you can really try is your own hotel's calendar, not a sample one.

Is there a minimum term?

Yes: the contract runs for twelve months and renews for another twelve unless someone says otherwise.

To stop it renewing you have to give thirty days' notice before the period ends. We warn you as the date approaches, so it is your decision and not an oversight.

We would rather say it here than in the small print on page three.

What happens if I miss a month's payment?

From the fifth the programme tells you on every screen. If it is still unpaid on the fifteenth, it goes read-only, and from the subscription screen you pay what is due or change the card.

Read-only and not switched off, and that is deliberate: a hotel that cannot check someone out has a guest standing in front of it. You can still look at everything, run your reports and download your data.

Nothing is deleted.

Is my data mine? Do I take it with me if I leave?

It is yours. Reports download as CSV from inside the programme, whenever you want and without asking.

Reservations, guest records, folios and invoices are handed over on request, in a standard format, within fifteen days at most and at no cost, during the contract or when it ends. There is no exit fee: if you leave, you take it.

Where is the data hosted?

The application and its database, on an OVHcloud server in France, with a full backup every night and thirty days of history.

Every record says which hotel it belongs to, and no query runs without that filter. Whoever else handles the data — Stripe, email, distribution — and where they do it is named in the privacy policy.

How long until I am working with this?

It depends on how many rooms and how many rates you have, but setup is measured in days, not months.

The slow part is not the software: it is deciding with you how the rates should look, because almost nobody has them written down the way they hold them in their head.

Do I have to set it up myself?

No. We leave the account set up: you tell us how you work, and the rooms, the types and the rates go in with us alongside.

It is also how we avoid selling you what you don't need: setting up your hotel makes it obvious very quickly which modules are surplus.

How do I know it will not break?

Every change goes through more than two and a half thousand automated tests before it reaches your hotel, and an accessibility audit that tolerates no failures at all.

It is not a promise that nothing will ever fail. It is the difference between you finding out with a guest in front of you and us finding out first.

Can I bring the bookings I already have?

Future bookings and your guest records import from a spreadsheet, and we do it during setup.

The invoice history from your previous system stays where it is: an invoice issued by another system belongs to that system, and moving it here would not make it any more valid.

How many people can log in? Do you charge per user?

There is no per-user charge. Put your whole team in, housekeeping included, and the price does not move.

What you pay for is properties and rooms. Charging per person in a hotel always ends the same way: three people sharing one password.

I run holiday apartments, not a hotel. Is this for me?

Yes. Guesthouses, hostels, rural houses and apartments carry the same duties as a hotel — invoicing and the police guest report — and the same calendar work.

The establishment type is declared on the property, which is a field the guest report needs.

Where it does not fit is a chain with a central reservations office: that needs something else.

Is it ready for VERI*FACTU?

The chained record for every invoice, the hash and the RD 1007/2023 QR code have been working from day one.

Electronic filing is switched on for your company, with your certificate, when your date comes: 1 January 2027 for corporate income tax payers and 1 July 2027 for everyone else.

The order matters. The chain is the part you cannot improvise the month before, because it cannot be filled in backwards.

Can I correct an invoice once it has been issued?

It is never touched, because the law does not allow it. If it needs correcting, a corrective is issued in its own numbered series, and both remain.

Software that let you edit it would be handing you a problem: every invoice is chained to the fingerprint of the one before, and a chain that does not add up shows.

Do I need a digital certificate?

Yes, to file with the tax office on your behalf, and with SES.Hospedajes once that sending is connected. It is yours and you provide it.

It is one of the few things we cannot supply, so better to know now.

Do you connect with Booking, Airbnb, Expedia…?

With the distribution module, their bookings land in the same calendar as yours, with their channel and their commission, without anyone retyping them.

The connection is set up with you, it does not switch itself on: there is a registration to do and rooms to match against theirs.

Does it work on a phone?

The whole programme is usable from a phone, and housekeeping installs as an app on top of that: it opens from an icon, with no app store involved.

The full calendar reads better on a big screen, as in any PMS, but there is no screen that breaks on a phone.
