What do I need to start?
An email address. When the account is opened we ask for the property name and your room types; that is enough for the calendar to be ready.
You don't set it up blind: we prepare it with you, with your rooms and your rates already in, before you start working with it.
What is the difference between a room type and a room?
The type is what you sell (double, family) and the room is the physical one (101). You sell by type, like any hotel, and the programme decides which room each booking gets.
You can pin a specific room by hand when you need to — a guest who always asks for the same one — and then it does not move.
How do I change prices for a season?
In Rates you can set the price for a date range at once, even for specific weekdays only.
That all-at-once change is «Bulk edit». A single day's price is changed by clicking that day — in the month, the day strip or the year —, and each room type's base rate in Settings › Spaces › Room types.
To see the whole year, the «Year» tab shows twelve months of one room type on one rate: each day with its price, a colour per price band — with the same cut-offs all year, so that the same colour means the same in January as in August — and a bar with what is sold. Click a day and then, holding Shift, another — on a touch screen, with «Select a range» —, and «Edit the range» opens bulk edit with those dates already filled in, even across months. Past days can be looked at, but no longer edited.
What you change applies to new bookings. The ones already made keep their price: the one agreed with the guest.
If you have the opportunity engine, also set the floor and ceiling of each room type in Settings › Opportunities, «Floor and ceiling» tab, and their seasons if they change through the year: the engine never suggests a price outside them, and without them it suggests no prices.
How do I close sales for some dates, and how do I open them again?
By clicking the day in Rates, or with bulk edit for a run of dates. Sale is «Open» or «Closed», and when closing you choose where: on this rate only, which is for pulling an offer while the others keep selling, or on every rate, which means not selling that day. If it is only some rooms — two being refurbished —, those close and the rest of the type keeps selling.
Reopening is the same in reverse. The day tells you how it is closed — on this rate, on all of them, or which rooms — and suggests opening it with the same scope it was closed with: opening this rate only leaves sales closed on the others. In the day strip, each room's cell also opens and closes its sale, on this rate or on all of them.
Closing sales is not blocking. A blocked room — a breakdown — stops selling on every rate and capacity drops; closing is a sales decision. The strip tells them apart: closed on this rate only has its own icon, without stripes; closed on every rate, the no-entry sign and stripes.
What is already sold is not touched: closing some dates does not cancel the bookings already in them, nor stop you correcting them. On the calendar, a booking can be moved to another room of the same type on those same nights even with sales closed, because moving what is sold is not selling it. What it will not do is add closed nights to it, or move it onto a blocked room.
Can I try it without entering my data?
Yes. You can load demo data — made-up rooms, bookings and invoices — and remove it with one button when you want to start for real.
It is the quickest way to see how a full calendar behaves without inventing twenty bookings by hand.
I run two houses. Do they go in the same account?
Yes. One account can hold several properties, each with its own rooms, rates and invoicing.
At the top you choose which one you are working in. The screens that make sense added up — the dashboard, the reports — also let you see them all at once.
Can I give my team access without them seeing everything?
Yes. There are seven roles, from owner to maintenance, and each reaches only as far as it should: housekeeping sees its tasks and the room board, but not the till or the invoices.
If you have several properties, you also decide which ones each person gets into.
People are invited by email and set their own password. Nobody shares yours.
Can I bring the bookings I already have?
They import from a spreadsheet in the format we give you, and we do it with you during setup.
We do not pull data out of any system at the push of a button. Before you sign we look at it and tell you what can come across and what will have to be typed.
